We are an independent, global, one-stop-shop focused on delivering Central Laboratory Services that are tailor-made, timely and flexible to meet the evolving study demands of traditional to increasingly complex trials. Additionally, we provide Functional Service Provider (FSP) Solutions, supporting our clients with scientific and technical expertise, acting as an extension of their team, coordinating all laboratory related needs, advising on strategies for lab data collection and providing end-to-end analytical and logistical solutions.

Summary

LabConnect EMEA is seeking to hire an organized, motivated and detail-oriented multi-tasker to join our team. You will provide high-level administrative support to the Executive Team, create and manage the operational dashboard and is responsible for several projects within EMEA. You will be working on-site in one of our locations.

Duties and Responsibilities

Support Executive Director, Global Bio Operations

  • Serve as key liaison between Executive Director, Global Bio Operations and key internal and external partners, clients, institutions, and other stakeholders, providing excellent customer service.
  • Responsible for calendar management, including planning meetings, taking notes, and overseeing the execution of open actions.
  • Coordinate recurring check-ins and communicate with multiple parties to schedule events.
  • Provide high-level operational and administrative support.
  • Complete expense reports, reimbursements, and travel arrangements.
  • Assist in the management of organizational budgets, tracking metrics, and creating dashboards for EMEA operations using SharePoint and Power BI.
  • Manage additional projects for the EMEA region and global initiatives.
  • Organize all meeting logistics: booking meetings, locations, and caterers.
  • Maintain and distribute related documents, e.g., manuals, minutes, rosters, etc.
  • Record minutes during meetings and distribute to members post-meetings.

Project Management and Metrics Tracking

  • Lead EMEA and global project management efforts, ensuring alignment with organizational goals.
  • Track key metrics and create dashboards in SharePoint to visualize data and support decision-making.
  • Utilize Power BI to analyze data and generate insights for continuous improvement.

Additional Information Education, Qualifications And Requirements

  • Equivalent to graduation from a four-year college. Additional professional or

administrative experience may be substituted for the education on a year-for-year basis.

  • A minimum of two years of experience in a comparable role.
  • Proficiency in Microsoft Office, especially within Excel and Power-BI.
  • Proven track record of excellent follow-through and accountability.
  • Outstanding organizational skills and attention to detail.
  • Ability to prioritize tasks and execute multiple projects simultaneously.
  • Experience with creating dashboards and project management.
  • Ability to work independently.
  • Willing to travel and work on both location in Swalmen and Cologne.
  • Self-starter with a positive, can-do attitude.
  • Flexible and able to meet changing work needs and demands.
  • Being proactive and anticipating future needs
  • Strong writing, proofreading and verbal communication skills.
  • Excellent time management skills.

Language Ability

Fluent in English and preferably in Dutch and/or German
